Define success before anything is built

During scoping we agree what should change and how it will be measured. That might be fewer manual touches, faster routing, fewer missing fields or less time spent assembling a report. We do not promise a generic saving before seeing the process.

The baseline, expected volume, acceptable error rate and owner of each exception become part of the brief. After launch, the team can compare the workflow with that baseline instead of relying on a polished demo.

We trace inputs, decisions, systems, volume and exceptions. You receive a plain recommendation on what to automate, what to leave manual and what access the build would need.

02 Build and test

The workflow is tested against representative cases, including missing data, duplicates, API failures and unexpected formats. Approval points are added where consequences justify them.

03 Hand over and observe

You receive documentation, ownership in your accounts where possible, a manual fallback and a walkthrough. We agree an observation period before deciding whether ongoing support is useful.

No integration is available every minute and no extraction model understands every document. A production workflow needs more than a happy path.

Do we need to replace our current software?

Usually not. We prefer to connect tools you already use where their APIs, permissions and reliability make that sensible. If a tool cannot support a dependable integration, we explain the tradeoff before building.

Expected failure paths are designed before launch. Depending on the process, that can include validation, retries, a review queue, alerts and a documented manual fallback.
