Documents arrive through email, uploads, shared drives and forms. A dependable routing workflow identifies the document, checks the information that matters, applies explicit business rules and sends uncertain items to a person instead of confidently guessing.
Manual triage becomes an invisible queue
A team member opens each attachment, works out whether it is a contract, request, application, claim or supporting record, checks for missing information, renames it and forwards it. When volume grows, the inbox becomes the task system and no one can easily see what is waiting or why.

02 Classify and validate
Use rules first and a model where the content genuinely needs interpretation. Check confidence, required fields, file integrity and duplicate fingerprints.
03 Route or review
Apply the ownership matrix, record the reason for the route and place anything outside the rules in a named review queue with its original context.
Protect access while the document moves
The workflow should have access only to the sources and destinations it needs. Sensitive categories may require separate storage, shorter logs or a human decision before content is sent to an external model.

Document the categories, not just the connections
The handover includes the routing matrix, examples for every category, required fields, confidence thresholds, review queue, connected accounts, logs and manual fallback. When the business adds a new document type, the owner can see exactly which part must change.
Success is defined from the current process. Useful measures might include time to first owner, percentage routed without intervention, exceptions resolved within the agreed window and misroutes found during review. The target should reflect actual document quality and risk, not a generic automation claim.
